Responsibilities

 

 

Functions/Responsibilities:

  1. Provide administrative support to the Chief Financial Officer including answering telephones, handling of correspondence, coordinating calendars, scheduling meetings, conference calls, luncheons, etc.
  2. Maintain detailed calendars and prioritize meeting requests and logistics. Arrange all aspects of travel.
  3. Interact with clients, co-workers and the general public in a professional and effective manner.
  4. Coordinate day-to-day administrative activities, necessary office functions, and ensure that administrative support concerns are handled efficiently.
  5. Prepare and submit complete and accurate invoices and expense reports on a timely basis.
  6. Prepare and distribute memos, letters, faxes, reports, meeting minutes and other documents as requested.
  7. Responsible for overseeing that all office equipment is fully operational and keeping office supply inventory stocked.
  8. Assist with special projects and any additional needs of all divisions of Administration
  9. Provide coverage at reception desk as needed.
  10. Perform other related duties as requested.  

 

Qualifications

  • Bachelor’s degree preferred.
  • Minimum 1-3 years of experience in a similar role and familiarity with the functions/activities of a Finance Department is required.
  • Proficient use of Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) required.
  • High attention to detail. Ability to maintain high standards despite pressing deadlines.
  • Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a deadline driven environment.
  • Must be able to prioritize a variety of time sensitive tasks. Consistently display the highest degree of integrity, professionalism, diplomacy and discretion.
  • Excellent interpersonal and communication skills.
